Team Executive Assistant

Exciting opportunity for an experienced Team EA to join the UK’s leading provider including audit, tax and advisory specialisms, delivering integrated solutions to their clients’ issues.

Salary:  FTE salary of £37,000 per annum plus benefits including: lunch allowance, dental cover, Group Income Protection, Group Life Assurance, Personal Accident and Travel Insurance, annual vision exam, birthday day off, two additional US bank holidays, gym loan, season ticket loan

Hours:  Part time, 21 hours per week over 3 days Mondays Tuesdays and Fridays, 9:30am to 5:30pm with an unpaid hour for lunch each day.  Flexibility surrounding the days of the week worked may be considered

Contract Type:  Fixed term contract for 6 months with option to review

The Role and Key Responsibilities:

  • Completion of expenses and timesheets via the Concur system
  • Organise business travel and accommodation via the Concur system
  • Proactively manage email inboxes as required including meeting organisation
  • Assist with the completion of visa applications where necessary
  • Completion of project and staffing forecasting via the Retain system
  • Prepare Word, PowerPoint and Excel documents as directed
  • Assisting with Resident Labour Market Test administration (training provided)
  • Updating Firm policy documents in PowerPoint as directed by your Performance Management Leader (PML)
  • Preparation and submission of CPE documentation for team training events
  • Updating resumes and posting to the MySite system
  • Regular catch ups with your allocation to ensure business needs addressed timely
  • Organising in person and remote interviews via Skype for Business video conferencing
  • Arrange internal and external meetings, booking meeting rooms, restaurants, catering and equipment
  • All catering for team meetings, monthly and annual events
  • Updating loaner laptops
  • Organise the printing and binding of documents
  • Creating and maintaining Profile Sheets for your allocation
  • Assistance outside of your allocation during periods of downtime as directed by your PML
  • Web based research as directed
  • Weekly logging of visitors via Excel
  • Splitting and distributing the monthly credit card statement throughout the team using Excel
  • Updating global travel tracking via the LINKS system
  • Updating the team contact list
  • Updating the team telephone and serial number ID chart
  • Assist with electronic filing where required via the Orion system
  • Promptly sending post and courier deliveries for the team as requested
  • Periodic holiday cover
  • Carry out any other ad hoc administrative tasks as and when required or directed by your PML

Skills/ Experience Required:

A busy and interesting role which requires confidentiality and discretion. Other skills / experience include:

  • 5 GCSEs or equivalent including Maths and English at grades A-C
  • Copy typing at 45+ words per minute
  • Intermediate Outlook, Excel and PowerPoint skills, basic Word skills
  • Minimum of two years’ experience working in a team environment within a large company
  • Ability to be self-sufficient with attention to detail, but also team orientated
  • Positive, proactive, can-do attitude with good work ethic
  • Adaptable and comfortable liaising with differing personalities, with a curiosity to learn and develop
